HelmRow

DCAA audit evidence, built in rather than assembled later.

Append-only records, a hash-chained audit trail anyone with authority can verify, and evidence packages you generate in minutes instead of assembling for a week.

Compliance isn’t a report you run at the end.

It is how an ordinary Tuesday behaves. HelmRow puts the DCAA labor-accounting disciplines into the working day, so the evidence already exists when someone asks for it.

Recorded as it happens

Daily entry against authorized charge codes, in the employee’s own time zone, with a permanent flag when it is late.

Separated by construction

The person who records the time is not the person who approves it. Self-approval is refused by the software, not discouraged by a policy.

Preserved, not overwritten

Corrections add a revision. The original value, the author, the time and the reason stay attached to the record for good.

Six controls, one working day.

Each stage changes the same record and leaves something behind. Pick one.

Timekeeping administratorAuthorizing the codes a person may charge, as an onboarding task
EmployeeEntering hours on the day, with a late entry flagged
EmployeeCertifying the period under an authenticator code
SupervisorApproving, rejecting with a reason, or asking a question
EmployeeA correction on the record, with its reason and the original kept

Changes don’t disappear. They pile up.

One employee, one day. The correction at 17:41 did not replace the entry at 17:40 — both are still there, and so is everything that came after.

  • Append-only: an event is added, never edited away
  • Author, time and stated reason on every line
  • Hash-chained, so the sequence itself can be checked
  • Searchable and exportable by actor, object or date

Hand an auditor a package, not a spreadsheet.

When a request arrives, the answer is already assembled. Choose the scope, generate the package, and give over something complete enough to read without you in the room.

  • Period close, floorcheck, timesheet history and disposal review
  • Manifests with counts and control totals
  • Printable for the room, machine-readable for the file
  • Permanent once generated — the package is itself a record

HelmRow will tell you what is past retention. It will never decide to destroy it.

Retention policies carry their regulatory citation, and a disposal review freezes what it found as a hashed package for counsel to authorise against. Legal holds suspend disposal across every class they touch.

  • Retention policies with the citation attached
  • Disposal review frozen as an evidence package
  • Legal holds that suspend disposal wherever they reach
  • Documents voided or archived with a reason, never deleted

What we claim — and what we don’t.

Audit-ready workflowsDaily entry, authorized codes, segregated approval, traceable corrections and a verifiable trail — the disciplines behind accurate labor charging.
Acknowledgment, not e-signatureDocuments carry a recorded attestation with the person, the statement and the time. It is an internal record, not a third-party signing service.
No software is DCAA compliantDCAA does not certify, approve or endorse commercial software. HelmRow provides the controls and the evidence; your practices and records are what an audit examines.

HelmRow provides tools designed to support compliant timekeeping practices. DCAA compliance depends on an organization’s complete policies, procedures, internal controls, and implementation.

Questions we get from compliance managers.

Is HelmRow DCAA certified or DCAA approved?

No, and neither is any other product. DCAA does not certify, approve or endorse commercial software. What an audit examines is your timekeeping practices and the records they produce. HelmRow is designed around DCAA labor-accounting controls and produces traceable labor records, so the evidence is there when it is asked for.

Can a supervisor change an employee’s hours?

No. Entry and approval are separated by construction. A supervisor can approve, reject with a required reason, or ask a question the employee answers on the record — but the hours stay the employee’s own statement. Self-approval is refused outright.

What happens to a mistake?

It becomes a new revision. The original value stays readable alongside the corrected one, together with who changed it, when, and the reason they gave. Nothing in the labor record is overwritten or deleted.

How is the audit trail verified?

Trail entries are hash-chained, so the sequence can be checked rather than trusted. Anyone with the authority to do so can run the verification and export the result, and the trail is searchable by stream, event type, actor, object and date.

Does HelmRow delete records once retention expires?

It reports what is past retention and freezes that review as a hashed evidence package. It never destroys anything on a schedule. Disposal is a decision your organization makes, and a legal hold suspends it across every record class the hold touches.

Can we get evidence for a floorcheck on short notice?

Yes. A floorcheck package captures one employee on one day as the record stood, and generates in minutes. Period close, timesheet history and disposal review packages work the same way.

Do we pay extra for the compliance features?

No. Every customer gets every feature. There is no compliance tier, no audit add-on and nothing on this page behind a paywall.

They will have the hardest questions. Good: that is what the record is for.
